Summary
The role of Operations Coordinator has been created in response to the needs of our growing organization. The person who fills this role will play a major part in shaping its responsibilities as well as the growth trajectory. This individual is charged with being the first point of contact for the office as well as exemplifying our strong company culture and values. The Operations Coordinator will support the administrative activities of the company.

Position Responsibilities
The Operations Coordinator will report directly to the Executive Administrator, who works directly for ownership. Key duties include:
Office Administration
– Deliver exceptional customer service when answering phone and greeting visitors
– Coordinate the functions of daily office operations including mail sorting, supply ordering, conference room calendar management, and other duties as assigned
– Track administrative budget expenses
– Research and implement more effective and innovative administrative systems
– Assist in meeting planning and training/education program planning
Human Resources Administration
– Active role in staffing and talent acquisition
– Coordinate onboarding of new employees
– Assist with the completion of required employment paperwork during onboarding and otherwise; i.e., offer letters, financial forms, disability requests, etc.
– Assist with drafting and memorializing/updating Standard Operating Procedures
Pre-Construction & Construction Administration
– Maintain current database (Access) of bidders with updates and new information
– Update Procore with bidder information as needed (same as above separate database)
– Confirm status of MWBE contractors, State and City certified
– Job trailer set-up and tracking
– Compile closeout documentation
– Provide billing backup to project coordination

– Other duties as assigned

Education, Experience and Skills
– Associate or bachelor’s degree
– Strong experience with Microsoft Office Suite and good control of database management
– Excellent verbal and written communication skills
– Interpersonal skills and customer-service mindset
– Ability to work collaboratively across departmental functions
